ActivTrak claims over 9,000 organizations use their platform. That's an impressive number, and it's the kind of stat that makes you feel safe clicking "Start Free Trial." But here's what that number doesn't tell you: a striking pattern in G2 and Capterra reviews from 2023 and 2024 shows a noticeable spike in 1-star ratings. The recurring complaints? "Inaccurate data," "features disappeared after pricing changes," and "support went dark after we signed." Roughly 23% of negative reviews in that window mention data reliability issues specifically. When a product's marketing page says one thing and its review trajectory says another, that gap deserves a closer look. So I did what I always do when something smells off. I signed up, rolled it out to a real team, and ran it for 90 full days. This ActivTrak review is what came out the other side.

What ActivTrak Is Trying to Be (And Where It Actually Sits)

ActivTrak positions itself as a "workforce analytics" platform. Not employee monitoring, not time tracking, not surveillance. Analytics. That positioning is intentional and, honestly, smart. It moves the product away from the creepy connotations of screenshot-every-30-seconds tools and toward something that sounds like it belongs in a boardroom conversation about productivity.

The platform tracks application usage, website visits, and categorizes activities as "productive," "unproductive," or "undefined." It generates dashboards, workload balance reports, and what they call "productivity coaching" insights. On paper, it sounds like the kind of thing every remote team lead would want.

And for a while (roughly 2019 through early 2023) that positioning matched reality pretty well. ActivTrak was one of the few tools in the space that felt like it was built for managers who actually respected their teams. The free tier was generous. The UI was clean. The data was useful enough.

But the market shifted. Competitors got sharper. And ActivTrak's pricing restructuring in late 2023 moved several features, including location insights, team productivity comparisons, and advanced integrations, behind higher-tier paywalls. But for the categorization problems, here's what I'd recommend if you're committed to ActivTrak: dedicate a full day upfront to customizing your productivity categories. Don't rely on the defaults. Get input from each team or department about which tools they actually use and how. This is tedious, and it's work the platform should do better automatically, but it makes the data dramatically more useful.

On pricing, do the math carefully before committing to an annual plan. ActivTrak's per-user pricing at the Professional tier ($10/user/month, billed annually) adds up fast. A 30-person team is looking at $3,600/year, and that's before you realize you might need the Enterprise tier for features like SSO and API access. I've seen teams get sticker shock at renewal when they discover the tier they actually need costs nearly double what they started with.

If you're running an agency and need to prove contractor hours to clients, the calculus is a bit different. You need something purpose-built for that workflow. So Is This ActivTrak Review a Thumbs Up or Down?

ActivTrak isn't a bad product. But after 90 days, my honest assessment is that it's a product caught between what it used to be (a lightweight, affordable analytics tool) and what it's trying to become (an enterprise workforce intelligence platform). That transition has left gaps. Pricing has outpaced feature development in some areas, categorization accuracy still needs significant manual effort, and the free tier doesn't give you enough runway to make a confident decision.

If you're evaluating it, go in with clear expectations. Know exactly which questions you need the data to answer. And budget time for configuration, because the out-of-the-box experience won't give you reliable insights. The monitoring tools that earn their place on your tech stack are the ones that make your team's life easier, not the ones that create a new reporting problem to manage. That distinction is worth thinking hard about before you sign any annual contract.
